A Fleet-mate just sent me green Mk 2 cannons in the mail but I'm unable to take the item from the mail (the take items button is greyed out) I'm a Lt 4 at the moment if this helps - Do I need to go to a certain place or something?

Thank's in advance (I'm sorry if this thread exists, I'm unable to find anything on search though)

You probably have to visit a star base to grab your mail. Most places that have an exchange also have a mail kiosk.

For example, near the Exchange terminals in Starbase 001 there is a smaller "mail" terminal. The only way you can take items from the mail is by using one of these.
